Privacy Policy — RCRM
RCRM (“we”, “our”, “us”) operates as a companion app of a self-hosted Retention CRM platform server, accessible via mobile and web. All data is collected and processed exclusively on the client-hosted instance. This Privacy Policy explains what information is processed and how it is protected.
1. Information We Process
When you use RCRM, the following categories of information may be processed:
- Personal Information: name and user ID linked to the account.
- Audio Data: call recordings and audio generated through communication features.
- Diagnostic & Crash Data: technical information such as performance metrics and error reports.
2. How We Use the Data
All processing takes place within the client-hosted instance only. Data is used solely for:
- Improving application functionality and reliability.
- Analyzing interactions and usage.
- Identifying and resolving technical issues.
No data is sent to external servers or shared with third parties.
3. Data Linking & Retention
Certain data (e.g., name, user ID, audio data) may be linked to user accounts to enable personalized functionality and analytics. Data retention is fully controlled by the client in accordance with their internal policies and legal requirements.
4. Data Security
The client is responsible for securing and managing their hosting environment. The platform supports modern security standards, but physical and logical access control is managed entirely by the client.
5. Third Parties
RCRM does not transfer or share personal data outside the client’s environment. If the client uses third-party infrastructure providers, they are bound by the client’s agreements and governance.
6. User Rights
Users may exercise their rights — including access, correction, or deletion of their data — directly through the client as the data controller of their self-hosted instance.
7. Data Transfers
As this is a self-hosted solution, all data remains within the client’s chosen infrastructure (on-premises or private cloud). No international transfers are performed by the provider.
8. Children
RCRM is not intended for use by children under the applicable legal age. No personal data from children is knowingly collected.
9. Changes to This Policy
This Privacy Policy may be updated by either the client or the software provider. Material changes will be communicated in accordance with the client’s internal procedures.
